Designing a seamless bank connection flow for accounting automation
Kabilio is a SaaS platform used by accounting firms to manage financial operations for multiple client companies from a single workspace. One of its core features is the automatic synchronization of bank transactions through external banking integrations. The challenge was to design a complete and intuitive flow for connecting bank accounts within a client’s accounting setup, ensuring the system could handle multiple products per connection, different authentication steps, and complex edge cases such as session expiration or previously connected accounts.
Goal
Enable fast, reliable and error-free bank connections within a complex SaaS environment
The goal was to design an end-to-end experience that allows accountants to connect client bank accounts in a clear and efficient way, without friction or uncertainty. The flow needed to support multiple bank products per connection, allow product-level configuration after authentication, prevent duplication of already connected accounts, handle dynamic authentication scenarios such as organization selection or partial product selection, and ensure the system remains understandable even when interruptions occur during the process.
Solution
A structured step-by-step flow with clear states and robust edge case handling
I designed a guided flow that takes users from an empty state to a fully active bank connection through a clear sequence of steps. The experience integrates authentication directly within Kabilio, avoiding external redirects and keeping users in context. After authentication, users can select and configure bank products individually, with specific validation rules depending on the product type. The flow adapts to different scenarios such as organization selection or partial product retrieval, ensuring flexibility without increasing complexity. Special attention was given to system states and edge cases like session expiration and previously connected products, resulting in a predictable and reliable experience.
